Getting Started


Login

1.

Go to https://hearhere.io/ — use any browser on any size screen.

2.

Click the Login button at the top right and sign in with your identity provider.

3.

You now have a HearHere account. Future logins use the same button.


Install on Your Device

Instructions for iPhone
  1. Open HearHere in Safari, press the (...) to the right of the url.
  2. Tap the icon, then choose Add to Home Screen.

Log in using your preferred identity provider

Once you're in, HearHere empowers you to:

  • Tune your Feed Subscribe to public topics and new speeches arrive as they're posted

We do not sell, lease, monetize or share your data with any third party. Transcripts and recordings are available only to people in your HearHere Conversations and Customer Support as needed. Terms of Service and Privacy Policy may be found in the footer at all times.


Welcome Experience

If you'd like to revisit the guided introduction to HearHere, you can return to the Welcome page at any time. It walks through the same first-time setup experience you saw when you initially joined.


Recording & Conversations


Recording a Speech

1.

Tap the HearHere logo or the Record button in the center of the navigation bar.

2.

Click Start Recording. A timer shows your elapsed time and remaining duration.

3.

Talk for up to 5 minutes (Premium subscribers can record up to 45 minutes).

4.

Click Stop Recording. You can also pause and resume mid-recording.

5.

Pick your Destination — select the Conversation and Topic where this speech belongs. You can pick your destination at any time after step 1.

6.

Click Upload. Done!

Title & Priority

Before uploading, you can give your speech a title and set its priority level: Normal, Low, High, or Urgent. Priority helps listeners know what to pay attention to first.

Location

If you enable the location option, your recording will be tagged with where you made it. This setting can be toggled per-recording or set as a default in Settings.


Conversations & Topics

HearHere organizes audio into a simple hierarchy: Conversations contain Topics, and Topics contain Speeches. There are three types of Conversation:

Personal

Your Personal Conversation is a private sandbox that only you can access. Use it to test recording, draft thoughts, or keep voice notes to yourself. Every account has one.

Private

Private Conversations are invite-only groups. Only the people you add can see and contribute to them.

Public

Public Conversations are visible to all HearHere users. Anyone can browse, subscribe to Topics within them, and listen.

Creating a Conversation

Navigate to Conversations, click New Conversation, search and select the users you want to include, fill in an opening topic, record your first message, and click Create Conversation. This creates a Private Conversation with the people you selected.

Topics Within Conversations

Topics work like folders inside a Conversation. You can create new Topics at any time to organize speeches by subject. Topics can also be nested under other Topics to build a hierarchy.

Subscribing to Public Topics

When browsing Public Conversations, you can subscribe to specific Topics. Subscribed Topics appear in your Feed, and you can opt into push notifications for new speeches in subscribed Topics through Settings.


Inviting Others

Want to invite someone to an existing Conversation?

Every Conversation has a built-in invitation system. On the Conversations Page for the Conversation you want (under its name), click the button.

Want to invite someone to talk with you directly?

In the Profile Menu (top right, next to LOGOUT) and choose QR Code.

Both styles are easy and useful. You can start with a private DM and grow it into a group conversation anytime by adding more people later.


Listening & Reacting


Feed

The Feed is your inbox. When you log in, you land here if there are speeches you haven't heard yet. Speeches are grouped by Conversation and Topic, color-coded so you can scan at a glance: green for unheard, yellow for your own, blue for archived, and gray for already heard.

Filtering Your Feed

Use the filter controls at the top to hide your own speeches or public speeches from Topics you haven't subscribed to. Toggle Show Archived to bring back speeches you've previously archived. Hit to check for new speeches.

Archiving

Archiving is how you keep your feed relevant. When you're done with a speech — you've listened and responded, or it simply doesn't need your attention anymore — tap to move it out of your feed. It isn't deleted; toggle Show Archived and it reappears in blue, and you can tap to bring it back. The idea is simple: leave speeches in your feed as long as they need action, then archive them when they don't.


Transcripts

Every speech is automatically transcribed. While listening, the transcript scrolls along with the audio so you can follow the words as they're spoken. Click any segment in the transcript to jump the audio to that point.

Auto Scroll

The Auto Scroll toggle keeps the currently-playing segment centered on screen. Turn it off if you want to browse the transcript freely while audio plays.

Editing Transcripts

If you are the original speaker, you can quick-edit individual transcript segments by clicking the that appears next to each segment. This is useful for correcting names, technical terms, or anything the transcription got wrong.

Raw Transcript

Use the Raw Transcript toggle to view the full, unformatted transcript text without timestamps or segment breaks.


Reactions & Emoji

While listening to a speech, you can react with emoji at any moment. Your reactions are timestamped to the quarter-second and attached to the transcript at that point. When others listen to the same speech, they see all reactions animate in sync with the audio — a shared layer of emotional context over the spoken word.

Stamping Your Reactions

Tap any emoji from the reaction grid while audio is playing. Your stamp appears on the transcript at the current playback position. You can remove individual stamps before or after they are uploaded, or clear all stamps within a segment.

Animation Styles

In Settings, you can choose how reactions animate during playback: Pulse, Burst, Waterfall, or Bubbles. This is a personal preference — it affects only what you see.

Customizing Your Emoji Grid

Premium subscribers can customize their 25-emoji reaction grid. In Settings, click any emoji slot and swap it for a different one from the Big Book of Emoji. You can reset to the default grid at any time.

Shielding Emoji

If there are specific emoji you do not want to see in reactions, you can shield them in Settings. Shielded emoji are hidden from your experience — others can still use them, you just won't see them.


Finding Content


Your Account


Settings

The Settings page is where you configure your HearHere experience. Here is a summary of what you can adjust:

Profile

Set your preferred display name and profile bio. These are visible to other users in your Conversations.

Language & Timezone

Choose the language used for transcription and set your timezone. HearHere can auto-detect your timezone from your browser, or you can set it manually.

Font Size

Adjust the display font size between Small, Medium, and Large to suit your reading preference.

Hidden Conversations

Public Conversations you have hidden will appear here. You can unhide any of them to restore them to your Conversation list.


Notifications & Devices

HearHere supports push notifications so you know when something new arrives. Notification settings are found in Settings.

Notification Types

A master toggle enables or disables all notifications. When enabled, you can individually control notifications for: new speeches in private Conversations, new speeches in subscribed public Topics, reactions to your speeches, and reactions to speeches you have listened to.

Device Management

Each device you use HearHere on can be registered for push notifications separately. You can label your devices (for instance "Work laptop" or "Phone") to keep track of them, and unregister any device at any time.

Notification Badge

You can configure what the notification badge on the app icon counts: unstarted minutes, incomplete minutes, unstarted speeches, or incomplete speeches. You can also clear or recalculate the badge from Settings.


Privacy Controls

HearHere gives you three levels of control over other users, each found in Settings:

Block

Blocked users cannot see your speeches, your reactions, or send you notifications. Use this when you need a clean separation from someone.

Mute

Muted users' content remains visible to you, but you will not receive any notifications from them. Useful when you want to check in on your own terms.

Shield

Shielded users' reactions are hidden from you, but their speeches remain visible. This lets you keep hearing someone without seeing their emoji reactions on your content or anyone else's.

All three lists can be managed from Settings, where you can remove users from any list at any time.


HearHere Premium

HearHere Premium is an optional monthly subscription that unlocks additional capabilities:

Record Longer

Record speeches up to 45 minutes long, compared to 5 minutes on the free tier.

Upload Audio Files

Upload existing audio files directly rather than recording through the app. All major audio formats are accepted.

Custom Emoji Grid & Premium Emoji

Customize your 25-emoji reaction palette and gain access to a set of Premium emoji not available to free users.

Free Trial & Billing

Premium includes a free 7-day trial. It is a monthly subscription that you can cancel at any time. Billing is handled securely through Stripe — manage your subscription from Settings.


Troubleshooting


Audio Not Playing

If you cannot hear audio during playback, work through these checks:

1.

Make sure your device is not on silent or mute. On iPhones and some iPads, check the physical mute switch on the side of the device.

2.

Turn up your volume. Some devices have separate controls for ringer volume and media volume — make sure the media volume is up.

3.

If you are using Bluetooth headphones, confirm they are connected and selected as the audio output.

4.

Try playing audio in another app or tab to rule out a device-level issue.

If none of the above resolves the issue, try closing and reopening HearHere, or restarting your browser. You can also revisit the Welcome page to re-test audio playback in a guided environment.


Microphone Not Working

HearHere needs microphone access to record. If your browser blocks the microphone, you will not be able to start a recording. The steps to grant permission depend on your platform:

iOS (Safari)

Open Settings on your device, scroll to Safari (or the browser you are using), tap Microphone, and set it to Allow.

Android (Chrome)

In Chrome, tap the lock icon in the address bar, then tap Permissions, and set Microphone to Allow.

Desktop

Click the lock or camera icon in your browser's address bar, find the Microphone permission, and set it to Allow. Then reload the page.

If you have granted permission and recording still does not start, try closing other apps that may be using the microphone (video calls, other recording software). You can also revisit the Welcome page to re-test microphone access.


Data & Support


How to Delete Your Data

If you wish to delete your account and all associated data from HearHere, please contact us at support@hearhere.io.

HearHere does not store personal data from Facebook, Meta, Google, Bluesky or any of our credential partners beyond what is needed for login credentials.

If you wish to request deletion we will honor your request. To request data deletion, email support@hearhere.io with subject "Data Deletion Request".

Requests will be processed within 30 days with confirmation.
